Audit trail

“Who changed it, and when?” is unclear. Message content can be deleted, and there is no immutable management audit trail of who changed what, and when.

Every timesheet edit is kept in an unchangeable (append-only) record with who, when and what changed. Managers can see this history, and the timesheet CSV export is logged too.

Notifications

You announce every shift by hand on WhatsApp; a read receipt is not a structured shift acknowledgment or a durable operational record, and messages get lost in the noise.

Rota

Employees get automatic notifications when the schedule is published or changes, for pre-shift and clock-in/out reminders, for open shifts, and when a leave request is approved or rejected. Managers get the leave request itself plus late and no-show alerts.

A first-week plan for moving off Excel

You don’t have to move everything in a day. A typical first week looks like this:

  1. Day 1

    Define your branches and shift rules

    Open the panel and enter your branches and working hours. Keep your Excel file to hand as a reference; no need to delete it yet.

  2. Day 2

    Add your team by email invite

    Invite employees by email; they join from the app on their own phones. (Bulk Excel import isn’t available yet, so the invite flow is used.)

  3. Days 3-4

    Build the first schedule in the panel

    Create this week’s schedule in the panel. The system catches overlapping or double-booked shifts at publish time; the mistake Excel would miss stops here.

  4. Day 5

    Publish the schedule

    The moment you publish, everyone sees their own shift in the app and gets an automatic notification. No more announcing shifts one by one on WhatsApp.

  5. Weekend

    Export the timesheet as CSV

    See the week’s clock-ins and worked hours as a timesheet, export the CSV and send it to accounting.

Frequently asked questions about switching

Can I import my existing Excel file?

Bulk Excel import isn’t available yet. Employees are added by email invite, and you build the first schedule quickly in the panel. You can keep your Excel file as a reference during the switch.

Do I have to drop WhatsApp entirely?

No. Rota moves shift announcements, reminders and request updates to automatic notifications; you can keep using WhatsApp for team chat however you like. The goal is to take critical operational information out of the chat noise.

Does it calculate overtime too?

Rota automatically computes worked and payable minutes and exports the timesheet as CSV. Overtime (averaging or settlement) calculation is not part of the product today; you continue to handle that on the accounting side.
