It starts with a short demo. You then define your branches and attendance rules in the web panel and add your employees by email invite. As soon as you publish the schedule, your team sees their own shifts in the app.

You build the schedule in the panel and each employee sees their own shifts in the app, so you no longer announce shifts over WhatsApp. Business owners can add their staff in bulk with a CSV or Excel (XLSX) file. After valid records are created, invitations are sent as a separate step. Importing existing shift schedules from Excel is not supported. Timesheets go the other way: you export them as CSV and send them to payroll.

Yes. Clock-in and clock-out happen on the employee's own phone, and the app asks for camera and location permission. Shared devices, tablet kiosks and QR-code clock-in are not supported today.

Clock-in and clock-out work online. If the connection drops mid-attempt, the app can resume that attempt for up to 10 minutes. Records are not kept offline, so a new clock-in cannot be opened without a connection.

Selfie images are processed on the employer's behalf to verify the clock-in and clock-out record. The 90-day period is an operational tracking window, not a commitment to automatic deletion; on its own it does not trigger erasure. The image is destroyed once handover to the employer is confirmed. Location data is captured at clock-in and clock-out and kept as part of the attendance record, within the employer's retention period. The distance limit is set per branch; it applies in strict mode and in flows without a field-work exemption, and does not block anything in flexible, exempt or field flows.

Records with no clock-out are collected in their own queue in the panel, and a manager can close the clock-out. Flagged records are listed on the review page and can be reviewed in bulk. Every correction stays visible in the history.

For shift, location, selfie and timesheet data the employer is the data controller; Luminis is only a data processor acting on the employer's instructions. An employee's access or erasure request therefore goes to the employer first. Requests are answered free of charge within thirty days at the latest.

Each branch is defined with its own time zone and its own distance limit. There are three roles: owner, manager and employee. A manager runs the schedule and timesheets for the branch they are responsible for, while the owner sees every branch.

You download the timesheet from the panel as CSV, open it in Excel and send it to payroll. Leave is requested and approved in the panel, and the remaining leave balance is reported. Every timesheet edit stays in the history with who made it and when.

ROTA Business is billed monthly or yearly per active employee. Annual billing gives two months free: pay for 10 months, use 12. Prices do not include VAT, which is applied separately.

Your subscription runs per billing period (monthly or yearly). On a monthly plan you can give notice any time before the period ends. On a yearly plan notice must be given at least 30 days before the period ends; later notice takes effect at the end of the following yearly period. On both plans notice never ends the current period early — the subscription ends when the period does.

It is free forever for up to 10 users, and no card details are asked for at sign-up. The free plan is not a trial; there is no expiry and no automatic charge.

You are free for up to 10 users. When you add the 11th user you move to the paid ROTA Business plan, and from that point every current user — not just the 11th — is billed per active employee. Prices do not include VAT.

It is forever. It is not a trial limited to a set number of days; you can use it free for up to 10 users indefinitely. You never move to a paid plan without taking an action yourself.
